Job description
Within Smart, the Information Systems Department (ISD) provides applications and tools that support members in the administrative management of their professional activities under employee status by offering them an original solution and shared services adapted to their needs. To achieve this, the IT department must respond to the constantly changing needs of its members while adapting to the rules and laws that govern work.
Within the IT department, the Infrastructure division is responsible for ensuring the proper functioning of the technical infrastructure (servers, computers, peripherals, connections, etc.), developing the tools necessary for process improvement and business growth, and assisting workers in the daily use of technological tools (computers, printers, etc.). telephones, alarms, etc.). In addition, he also manages the workspaces allowing the development of all activities within Smart, in particular through the provision of production sites for its members and the development of places promoting networking and ensures the optimization of resources (supplies, real estate and furniture) allocated to the development of activities.

Job description
Under the responsibility of the Deputy Director, your missions are as follows :
To ensure the administrative, contractual and real estate management of the spaces and places owned or rented by Smart, as well as those (third places) that are made available by the cooperative
Management of leases and amendments
Monitoring of contracts and indexations
Smart Office Move Tracking
Single Point Of Contact for tenants and users of Smart-owned premises
Reporting : monitoring of budgets, establishment of provisions, indexations, distributions and regularizations
Ensure the quality of services related to the provision of the premises
Ensure the inventory and referencing of suppliers related to real estate in close collaboration with the Accounting department
Ensure the follow-up of supplier, maintenance, operation and works contracts (Facilities/DSI)
Ensure that the desired work is carried out: maintenance, renovation, upgrading of the premises, etc. with the works coordinator (Building/ISD)
Profile
You have 3 to 5 years ' experience in a similar position - administrative management of real estate files - or within a condominium management company, a housing organization or as a support in the administrative department of a multi-site company
You have an excellent knowledge of French ( C2 level)
You have an in-depth knowledge of real estate law , the legal and practical aspects of rental management and real estate litigation
You have regular use of IT tools (Word, Excel, PowerPoint) and Microsoft Office 365 applications
Your personal qualities : rigor, organization, adaptability, assertiveness, autonomy and ability to dialogue with different interlocutors (managers, tenants, partners, service providers, etc.)
