Job description
Introduction
The mission of the Operational Management (DOP) teams is to support members in the use of Smart tools and services as well as in the secure management and economic and entrepreneurial development of their activities.
This department wishes to strengthen its administrative team and is looking for an Administrative Manager .
The Team Admin team has an organization in 3 thematic teams with missions handled by the whole team and others by a party. The position is part of Life Event Management and includes missions on the common theme of Salaried work.
Job description
Under the responsibility of the Operational Director, you will join Smart and benefit from training in the cooperative's business, internal processes and tools as soon as you arrive.
Supported by two resource team leaders and a network of experts, you will be in charge of carrying out various administrative missions in accordance with established procedures.
Missions – Life Event Management Theme
To support members in their administrative procedures and facilitate their access to social rights;
Explain the procedures related to compensation and social protection ;
Make declarations to social security and mutual insurance companies;
Process requests for guaranteed wages and secure members' rights;
Manage collection files and ensure rigorous follow-up;
Serve as a privileged interlocutor for external organizations (NSSO, trade unions, etc.);
Verify, validate and encode administrative data to ensure compliance;
Collaborate with other directorates on cross-cutting topics ;
Identify and report practices that are at risk or need improvement.
Missions – Theme Employee Management
Welcome and guide members in accessing tools and services according to internal rules;
Process and update personal data and contractual documents ;
Ensure the transmission and validation of documents related to employment contracts ;
Manage legal certificates and declarations related to employment contracts ;
Verify, validate and encode administrative data to secure the company;
Process mail efficiently.
Profile
You have a minimum of 3 years of experience in a similar position;
Perfect command of French and Dutch (C1 minimum);
Knowledge of English or Spanish is an asset;
Good command of office automation tools (Word, Excel, Outlook) necessary for the writing and monitoring of documents/files;
Experience in personnel administration or similar department is a strong asset;
Your personal qualities: rigor, keen sense of listening and contact, openness to change, ability to adapt to different situations and people, excellent ability to work within a team.

Conduct of interviews
