Job description

We are seeking a highly motivated office manager & administrative support to cover our colleague's parental leave. The Administrative and Office Manager plays a crucial role in supporting our team's operational, administrative, and accounting needs. This role will be responsible for supporting accounting and payments, administration, managing purchases, grants reporting, and helping automate administrative processes. The ideal candidate is analytical, detail-oriented, tech-savvy, and possesses strong organization and communication skills.

👉 Responsibilities:

Administrative & Analytical Support:

  • Input and verify data in Odoo to assist with accounting and payments processes in collaboration with external accounting contractors.

  • Ensure alignment with project and grant budgets.

  • Prepare and manage timesheets, track expenses, and document for financial reporting.

  • Assist with tracking key performance indicators and providing insights to streamline processes.

Office Management:

  • Coordinate office needs, including ordering supplies, managing inventory, andnegotiating with suppliers to ensure cost-effective procurement.

  • Support organizational events, team building and potential event with clients, to foster a positive work environment and company culture.

  • Act as the point of contact for team administrative requests, assisting with orders and office supplies.

Profile

👌 You are the ideal candidate if you have:

Bachelor’s degree in Business Administration, Management, Accounting, or a related field

Technical skills and professional experience:

  • 3-5 years in an administrative, accounting or office management role, ideally with experience in grant or financial reporting.

  • Organisational Skills: ability to multitask, prioritise, and manage time effectively across diverse responsibilities.

  • Experience with Odoo.

  • Problem Solving: Capable of identifying needs and creating efficient solutions for both operational and team support.

  • Accounting knowledge

  • Detail-oriented with high standards of accuracy in reporting and data management.

  • Communication skills. Good at keeping colleagues updated on activities, progress and challenges. Clearly articulating points for discussion and problem-solving.
