The IRIS Sud Hospitals are looking for a Process and Project Coordinator for the Site Coordination Department
📆 Under a fixed-term contract of 1 year at 80% (30h24/week)

 👉 What does the job consist of?

Your main mission will be to optimize, standardize and implement processes and to manage projects related to a wide range of activities essential to the proper functioning of the hospital (non-sterile purchasing and stores, transport, kitchens and cafeterias, biomedical maintenance, upkeep and waste management, operational management of sites, mobility, linen management, security and access control, etc.). internal and external transport, institutional events, reception services, mail and site secretariats). You will alternate between strategic work and operational action in the field to ensure efficiency, project delivery and team buy-in.

You will actively contribute to the institutional dynamics of continuous improvement, by developing and implementing a process management framework, analyzing and modeling existing processes, and proposing targeted improvements. You will also be in charge of project management, ensuring that objectives are in line with the realities on the ground and supporting change. In addition, you will lead the analyses necessary for the realization of projects.

You will work in close collaboration with the actors in the field from all the hospital's departments, both medical, nursing and administrative. You will be required to travel to the 4 sites.

 👉 Duties and Responsibilities

 As a Process and Project Coordinator, your functions and tasks will include:

  • Operational and field support : Participate in the concrete implementation of the actions decided, support the management in the operationalization of projects, and ensure a relay of information and coordination between the services.

  • Analysis and decision support : Monitor and analyze expenses, produce decision support materials for management, and identify and propose optimization actions.

  • Coordination and communication : Organize and facilitate cross-functional coordination meetings, and ensure the smooth flow of information between departments. Identify and manage grey areas.

  • Support for institutional dynamics : Develop and implement a process management framework, identify, analyze, model and document processes, propose improvements, contribute to the development and implementation of new work methodologies and process automation, provide methodological support, set up and monitor performance indicators

  • Project implementation management : Framing and defining the scope, analyzing needs, synthesizing target solutions, defining the approach, the action plan/planning and the budget of projects, managing and ensuring the general monitoring of projects, ensuring coordination between the various actors, identifying and managing risks and constraints, supporting change in the field, Be operational and organizational support and ensure project reporting.

  • You will also be required to intervene on an ad hoc basis in the field in order to reinforce the teams of site managers during exceptional needs. This may include the follow-up of moves, the management of claims, logistical coordination or any other event requiring enhanced operational support.

Profile

📚 Your education

You have a master's degree (e.g . public health sciences, management, economics, management of healthcare institutions, etc.)  and ideally have training/certification in project management (e.g. Prince2, Agile) and/or change  management and/or process management or modeling

 👌 Your experiences and knowledge

  • You have a minimum of 3 years' experience in a similar position (in project management or process design)

  • Experience in a hospital environment (or other comparable sector in terms of complexity) is a significant asset;

  • You have a professional mastery of computer tools (MS Office); 

  • You have a good knowledge of the second national language.

💸 Remuneration based on IFIC scales:

  •  Min: €4184.93 (index : 2.1223)

  • Max : 6425,50 € (index : 2,1223)
