Job description

The Office Manager is a central position that ensures the team works in the best possible conditions. 👌
You are the backbone of our Brussels office, making sure all administration, finance support, and HR processes run smoothly. At the same time, you help create a positive and structured team experience, supporting both on-site colleagues and our remote team members.

Responsibilities

👉 Administration & Finance (45%)

  • Liaise with our accountant for monthly and yearly closings.

  • Manage invoices, payments, insurances, subsidies, and compliance documents.

  • Coordinate VAT declarations and interact with tax administrations.

  • Prepare documentation for audits, banks, and other stakeholders.

👉 HR & People Operations (30%)

  • Manage onboarding and offboarding.

  • Draft and maintain employee records and contracts.

  • Support recruitment (job postings, screening, scheduling interviews).

  • Be the first contact for HR/admin questions and contribute to employee well-being.

👉 Office Management (15%)

  • Ensure smooth daily operations of the Brussels office (supplies, vendors, facilities).

  • Maintain a welcoming and productive office environment.

👉 Culture & Events (10%)

  • Organize team-building, afterworks, and celebrations.

  • Support external events such as trade fairs and workshops.

Profile

  • Experience in administration ,Accounting, finance support, or HR coordination.

  • Strong organizational skills and attention to detail. 🧐

  • Proactive, reliable, and adaptable.

  • Excellent communication in English + fluency in French

  • Comfortable with digital tools (MS Office 365, Teams/Slack, Asana...). 💻
