Within Pastoo, you will join the team of 3 people of the Artistic Department (CART).

We are looking for a motivated, dynamic intern who knows how to take initiative and is looking for a new challenge within a meaningful structure to join the artistic department. 😊

👉 Missions:

📝 Administrative follow-up:

  • Follow-up of emails, contacts with artists, management of invoices:

    Follow up on each artist request, gather the information sent and anticipate possible problems.

    Follow-up of contracts, technical sheets and declarations.

  • Follow-up of administrative authorisations:

    Follow-up and request for authorisation with Sabam and Art&Vie (artistic subsidy)

  • Follow-up with the communication department:

    Link between artists and communication to the public. In this context, he or she writes presentation texts and sends the necessary materials to the communication department.

  • Co-management of the artist reception, creation and monitoring of a schedule and schedules, follow-up of requests:

    Scheduling a show with about fifty different artists, it is necessary to welcome them as they should, to make precise times of the arrival and departure of each artist: When do they arrive? When do they leave again? What do they eat? What do they need in their dressing room?

  • Creation of welcome riders:

    Inorder to centralize all the information necessary for the reception to communicate it to the artists, it is necessary to create a roadbook or a reception rider with the main useful information:  parking, catering, accommodation, the list of useful contacts, schedules, etc.

  • Professional management

    In May, Namur welcomes several hundred professionals from the fairground art sector. It is therefore necessary to follow up on registrations as well as the sending of newsletters.

    It is also necessary to prepare their reception on site.

  • Creation of a monitoring table:

    A table to track artists and their application will need to be created and updated.

💪 Operational follow-up:

  • Accommodation:

    Hotels and accommodations for artists and organization will need to be booked and adapted in case of unforeseen events/changes.

  • Catering and miscellaneous equipment:

    Each artist must be nourished before or after his performance. It will therefore be necessary to plan for catering. Depending on its technical sheet, other consumables will have to be planned and prepared. A control room will have to be provided and ready for the artists.

  • Coordination of the arrival and departure of the different artists:

    Each artist must be welcomed on the site with his or her specific requests: catering, dressing rooms, requested equipment. You will also have to give him a time and a precise timing of the sound checks, rehearsals and the time of his performance.

  • Follow-up with logistics on the various services:

    The technical sheet of all the artists must be sent to the logistics department in advance. We will have to make sure that each artist knows what technical device they will have when they arrive.

  • Artist reception:

    Creation of a reception area with the appropriate dressing rooms and spaces for each artist.

    Management of requests on site.

    Management of the different spaces/dressing rooms.

    Management of signage in this space.

Profile

  • Perfect command of the written/oral French language;

  • Fluency in written English;

  • Writing skills and good spelling;

  • Knowledge of Office 💻 tools

  • Good organization and ability to manage multiple tasks at the same time;

  • Resourcefulness, autonomy, ability to adapt

  • Good resistance to stress;

  • Easy contact by phone 📱

  • Flexible hours (including evenings and some weekends);

  • Affinities and knowledge of the cultural sector and festivals in Belgium;

  • Affinity with event organization;

The little extra?

  • Fluency in Dutch;

  • Experiences in the music/street arts sector;

  • Presence at one of the previous editions of LaSemo and/or Namur in May;

  • B licence. 🚗

  • 📆 Dates: depending on your availability, it is possible to apply for different periods of the year, from October to the end of July. We encourage interns to stay until the date of the event(s), there is nothing like experiencing it to see the fruit of the work accomplished.

    Event dates for this year:

    • Sustainable Culture Forum: 25/11/25

    • Magic Cabaret: 11/12/25 to 25/01/26

    • Namur in May: 14-15-16/05/26

    • LaSemo: 9-10-11-12/07/26

  • Duration: minimum 3 months.

  • Working time : Full-time. The internship could start part-time and then change to full-time as events approach.

  • Office : Co-working Transforma Bxl - Av. Jules Bordet 13, 1140 Evere

  • Teleworking : 1 day per week (to be confirmed with the internship supervisor)

  • Salary : Unpaid internship

  • Reimbursement of transport costs : €30/month (with proof)

  • Equipment : a computer provided (unless otherwise agreed)
