Job description

As a project manager, you will be responsible for the proper execution of the events entrusted to you and their quality. 👌

This position will be under the supervision of the Projects Directorate.

🤝 You will have contact with:

  • the various heads of departments within the non-profit organisation,

  • external service providers,

  • local authorities,

  • external partners (volunteers, sponsors, etc.)

👉 Your mission

📝 Managing the full event cycle

  • Ensure accountability for the event throughout its lifecycle: from operational design to planning, execution and evaluation to closing.

  • Implement event strategy in collaboration with management and creative leaders.

  • Demonstrate agility and creativity to adjust the event according to external factors (e.g., weather, strikes) or internal factors (e.g., change of programming, anniversary of the event).

  • Analyze feedback and adjust the event to ensure a consistent vision throughout the project.

📣 Coordination of teams and stakeholders

  • Be the main point of contact internally and externally for all questions related to the event.

  • Liaise with service providers, subcontractors and local authorities (firefighters, police, etc.), and coordinate actions with internal teams.

  • Distribute assignments to departments, supervise their progress and ensure synchronization between teams (e.g. steering/coordination committee to monitor the progress of tasks and manage any problems).

  • In the field, to guarantee the smooth running of all missions.

📆 Planning and operational monitoring

  • Develop and maintain detailed reverse planning, incorporating deadlines and interdependencies between departments to ensure deadlines are met.

  • Identify key moments in the event cycle (preparation, peak activity, post-event follow-up) and manage priorities in a balanced way.

  • In collaboration with the other Project Managers, help distribute the annual workload of the different departments (logistics, bar, etc.).

  • Define the human resources needs (service providers, volunteers, etc.) necessary for the event in consultation with the departments.

  • Anticipate and resolve issues that may impact multiple departments.

💰 Financial and administrative management

  • Define the budget of the event in collaboration with the finance department, including financing and expenses.

  • Identify diversified sources of revenue (e.g. subsidies, ticketing, exhibitors, sponsorship) and work jointly with the relevant departments to ensure inflows.

  • Continuously monitor expenses and revenues, optimize costs at each stage of the project and produce regular financial reports for management (budget and project account management).

  • Supervise/manage negotiations with service providers, respecting the purchasing and negotiation policies of the non-profit organisation.

  • Proactively follow up on administrative documents related to the project (especially those related to cities such as grants, equipment requests, etc.).

🤗 Supervision of teams and follow-up of volunteers

  • Ensure the follow-up of the volunteers' missions throughout the event cycle, from the preparation phase (mobilization, briefing), during its execution, and during the post-event debriefing.

  • Provide ongoing support to department heads, internal or external teams to ensure objectives are met.

  • Communicate regularly and proactively on the progress of the project (monthly "office" meetings, weekly meetings with departments) and report any blockages or risks during steering meetings.

  • Conduct a comprehensive post-event debriefing – internally and with external stakeholders – to celebrate successes and identify areas for improvement for future projects.

Profile

  • Are you willing to work in the evening when necessary (on average 1X per month) and on weekends during events?

  • Do you have experience with Odoo and Notion tools? 💻
