Job description

Mission: 

Admin & office officer is responsible for the day-to-day administrative and accounting management of the company. He/She ensures the smooth running of office operations while ensuring that accounting processes comply with current standards. Admin & office officer plays a key role in organizing and coordinating administrative tasks, from managing supplies to preparing financial documents. He/She is also in charge of processing invoices, monitoring payments, and keeping accounts, thus contributing to a smooth and efficient financial management of the company. In addition, he/she collaborates with the various departments to ensure good internal communication and optimal management of resources.

Tasks: 

  • Ensure the day-to-day management of the company's accounting, including:

  • Manage billing (incoming and outgoing) including encoding.

  • Track and encode payments (incoming and outgoing).

  • Manage the encoding of various operations (OD).

  • Manage VAT returns, tax returns and statistical obligations.

  • Manage monthly accounting closes (general and analytical).

  • Perform a support function for the House's internal services.

Knowledge / know-how

  • Management of accounting operations: Know how to record invoices, follow up on payments, carry out bank reconciliations, and keep books of accounts.

  • Control of the processing of supplier and customer invoices, monitoring of payment deadlines and management of reminders.

  • Ability to prepare basic financial reports (balance sheet, income statement) and assist in monthly and annual closings.

  • Administrative management of the office:

  • Know how to track administrative and accounting expenses, and identify opportunities for cost optimization.

  • Know how to communicate fluidly with other departments to ensure the follow-up of budgets and compliance with administrative processes.
