We are looking for an Administrative Assistant (NL/EN) – with a focus on finance and human resources. 🌱
✅ Fluent in Dutch and good English = essential (French is a plus, but not the main language of this position)!
3 impact organisations (G1000, Impact Finance Belgium and Sustenuto), all present in the Impact House, are looking for an experienced Administrative Assistant with a passion for impact and efficiency. In this versatile role, you will support the financial administration, HR processes and the general organisation of the operation of these 3 organisations. You work closely with the various teams and ensure that figures and processes are clearly translated into concrete actions.
✨ Your main responsibilities:
👉 Administrative Assistant (2+ years of experience)
You play a concrete role in the development of these organizations. Your tasks will initially consist of financial administration and monitoring. In addition, you can provide support in the area of human resources and personnel administration as well as the general management of the office.
👉 Financial Administration and Oversight
You manage invoicing and cost tracking and actively participate in the streamlining of payment processes.
You will prepare monthly (quarterly) financial reports (actual vs. budget), based on data from CRM systems (Teamleader, Excel dashboards, etc.).
You will follow up on incoming and outgoing payments and will be the contact person for our external accountants.
You ensure the correct entry of financial data in collaboration with the various teams.
👉 HR and personnel administration
You take care of the processing of payroll and tax documents (such as tax forms), in coordination with the social secretariat.
You prepare the administrative processes around onboarding and offboarding.
You answer the team's practical questions about human resources.
👉 Administrative support and office management
You ensure that our legal and administrative obligations are fulfilled (e.g. UBO register, insurance, premiums).
You keep an overview of contracts, subsidies and insurance.
You will contribute to the improvement of our processes and propose optimizations.
Profile
💼 Experiment
Has worked for at least 2 years in controlling or financial administration – preferably in a service or consulting environment.
Practical knowledge: You know the basics of financial administration and know how to apply them in a small or medium-sized organization.
Cloud insight: You preferably have experience with the Microsoft SharePoint suite environment, Teams. 💻
Tools and analytics: You feel comfortable with Excel. Experience with Teamleader or Odoo is a plus.
Communication: You can easily create financial data for colleagues without financial background.
Quality: You are precise, independent and communicate clearly and respectfully.
⭐ Requirements
At least a bachelor's degree (finance, business administration, or similar). 🎓
Be fluent in Dutch and speak English well (French is a plus)
Be based in Belgium and available to work in the office.
