Job description

The assistant helps maintain the operational efficiency of the support department by providing administrative management and supporting accounting, HR management and office management processes.

The tasks are divided into several categories :

          Accounting & Finance

  • Day-to-day management of accounting including banking transactions, payments, invoicing of purchases and sales.

  • Help with monthly closing including VAT return, closing entries, fixed assets, inventory valuation and payroll (shared with HR).

  • Preparation of various reports related to accounting.

  • Preparation of cost accounting and management of expense reports and credit card statements.

         Human resources

  • Follow-up of social legislation, adaptation of social documents and communication of changes.

  • Management of employee absences and allocation of data for payroll calculation.

  • Sending payroll documents (including sales), correcting sales commissions, validating the performance of temporary staff and communicating salary data.

  • Management of files with the Social Secretariat, Credit Insurance, the External Service for Protection and Prevention at Work and telephone subscriptions.

         Office & Administration

  • Manage printer consumables to ensure continuous supply.

  • Intrastat, FOST+ and Valipac declaration.

  • Day-to-day management of transport, creation of fleet data and organization of employees' trips.

  • Management of suppliers for various needs, including commissary, maintenance of gardens and water fountains.

         Administrative management

  • Organization of corporate events, reception of external visitors and follow-up of well-being actions.

  • Management of work clothes and monitoring of the alarm centre.

  • Follow-up of subsidies and posting of internship/job offers online on various platforms.

  • Administrative follow-up of tenants (rent indexation, meter reading,...)


  • You have a degree in administrative management, secretarial work, accounting assistant or similar professional experience

  • You are proficient in one of the two national languages and have a very good knowledge of the second language. English is a plus

  • You have a good knowledge of the MS Office suite

  • You have excellent written and verbal communication skills

  • You have good priority management skills

  • You know how to work autonomously, rigorously and take initiative when necessary

  • You have the ability to collaborate effectively with team members and other departments

  • You demonstrate an ability to maintain the confidentiality of sensitive information

  • You will have an initial interview with the finance manager and the human resources manager. This interview will aim to assess your experience, your skills and to discuss our respective needs and expectations.

  • Successful candidates after the first interview will be invited to meet with the General Manager. This second interview will deepen mutual understanding and assess your ability to contribute meaningfully to our team ;-)
