Job description

As a Communication and Events Officer, you will work in a team of 10 people, both for the Ecole Polytechnique de Bruxelles (EPB) and the Ecole Polytechnique de Bruxelles Alumni A.S.B.L (A.lr.Br.).

Your missions will be rich and diverse:

1 - Communication (50%)

  • Production of visual and written material (news for the site, invitations, flyers,  etc.)

  • Dissemination of communication through multiple platforms (email, website, social media, posters,...)

2 - Event management and organization (30%)

  • Conceptualization and preparation of events

  • Planning of works, realization of timed schedules of events

  • Coordination of internal and external service providers, recruitment and management of participants in student jobs

  • Management of the smooth running of the event, from installation to storage

  • Realization of photo reports

3 - Administrative management of Alumni (20%)

  • Face of the Alumni : you will be the privileged point of contact for Alumni members

  • Ensure the proper processing of requests  and ensure the transmission of important information with administrators and data controllers délégué.es

  • Track dues and track the list of dues-paying members

  • Organization and participation in meetings of the A. Ir.Br. (Preparation of Minutes of Meetings)

  • Preparation of the documents necessary for the functioning of the association (Official Journal, invitation to the General Assembly, deposit in the Belgian Official Gazette, etc.)

  • Management of the association's stocks and assets

Presentation of the Ecole Polytechnique de Bruxelles (EPB): 

  • École Polytechnique de Bruxelles is the institution that trains Brussels civil and bio-engineering engineers at the ULB and actively prepares these engineers for the world of tomorrow.

Presentation of the Ecole Polytechnique de Bruxelles Alumni A.S.B.L (A.Ir.Br.):

  • Alumni are students and graduates of the EPB and the EBB (Brussels School of Bioengineering).

  • The first objective of the association is to create and strengthen professional and friendly ties between students and graduates of the EPB and the EBB. It also aims to protect the professional interests of former students. The AIrBr organizes nearly twenty events (conferences, networking,...)  throughout the year and supports various activities organized as part of the studies.

Profile

  • Have a maximum of a bachelor's degree (recognized by the FWB) in communication, marketing, events, public relations or with a relevant purpose for the position.

  • Persons with a diploma that does not emanate from the Wallonia-Brussels Federation or the Flemish Community must obtain an equivalence from the FWB : (equivalences.cfwb.be/index.php?id=486).

  • Proof of relevant professional experience or in a similar function is a prerequisite.

Knowledge and skills required:

  • Be comfortable with computer technology (online platforms, drive-throughs, social networks).

  • Proficiency in the Office suite (Word, PowerPoint, Excel, Forms, Outlook, Note) and data lists (Excel or similar) as well as graphic design software (such as Canva).

  • Perfect command of French and very good knowledge of English (C1), knowledge of Dutch (B2) is an asset.

  • Have impeccable spelling in languages and excellent writing skills.

  • Knowledge of project management, event management.

  • Be in possession of a B driving licence.

  • Basic knowledge in the drafting of legal documents imposed on Belgian non-profit organisations is an asset.

  • Strong sense of organization and responsibility, rigor, analytical and pragmatic mind.

  • Know and like to work independently as well as in a team.

  • Sense of human relations: ease of listening, dialogue, discretion and diplomacy.

  • Be customer-oriented, solution-oriented and be able to play a facilitating role.

  • Curiosity, knowledge and interest in logistics and news related to events.

  • Availability and flexibility in schedules, during the day (a few meetings at lunchtime) and sometimes in the evening (very rarely)

Conduct of interviews

  • At the end of the pre-selection, the members of the jury will invite the candidates who have caught their attention to a first interview (possibly accompanied by a written/oral test or role-playing).

  • A 2nd appointment may be proposed.

The position is to be filled as soon as possible, but the start date of the contract can be discussed with the members of the jury.
