Job description

Management of the Technical Helpdesk:

The Technical Helpdesk provides 24/7 monitoring of the technical infrastructures of the Clinics and the UCL faculty site (partially) via Centralized Technical Management (CTM) systems. Heating, ventilation, electricity, fire, critical equipment, elevators.

It is the interface between users and technical managers (internal and external) as well as with the emergency services (police, firefighters, etc.).

The Technical Helpdesk ensures the recall of technical and external service on-calls.

The Technical Helpdesk Supervisor is responsible for the following activities:

  • Establishment of work instructions and procedures as well as their compliance by the attendants

  • Guarantee of functionality of the tools and systems provided

  • Ensure the encoding and traceability of actions taken in specific logs and software.

  • Ensure that operators develop professional communication in their contacts.

Team Coordination:

  • Establishment of schedules, priorities and objectives

  • Leave planning, recuperation, training, evaluation, etc.

  • Performance Monitoring and Scorecards

  • Organizing team meetings

  • Safety rules

  • Ensure special attention to all aspects relating to the safety of property and people

  • Procedures relating to the safety of critical facilities and sectors (emergency, intensive care, OQ, banking and cryogenics, fire detection, etc.) will be recalled and tested regularly.

 Administration:

  • Very regular updating of instructions and procedures to be in line with new sectors or facilities to be supervised, new service providers, etc.

  • Contribution to the establishment of detailed reports (log and history of events and actions taken) in the event of a significant incident or accident.

  • Make regular reports to the line manager and management

  • Collaboration with other departments

  • Ensure good communication with other department heads and intervene when necessary to relay repetitive incidents or alarms.

 Operator's activity:

  • Supervision of infrastructure, buildings and technical installations taken over by the Technical Control Centre.

  • The accurate transmission of alarms, incidents and requests to the people in charge (internal and external) in order to be able to solve these events and ensure their follow-up until the return to normal as well as the appropriate reporting.

  • Assist the maintenance manager and the technical director by taking charge of technical infrastructure projects.

Specificity of the position:

  • 100% permanent contract

  • Opening hours : role of technical guard at home with possible call-back on site

Profile

Knowledge:

  • Industrial Engineering Degree in Electromechanics (Master's degree) or equivalent experience

  • 5 years of experience in the field of hospital maintenance, team management and subcontractors.

  • Mandatory upgrade for the supervision systems used at the Clinics (Def, Honeywell, Wormald, elevators, etc.).      

Soft skills:

  • Commitment to the objectives of the Technical Department

  • Availability

  • People management

  • Good level of communication with internal departments and users

  • Perfect knowledge of the French language, both oral and written

  • Mastery of computer tools
